How to book

To book your place on a Pro-Am Tour event please telephone in the first instance to confirm availability. We will require the names of your team members and your requirements regarding number of hotel rooms, etc. If you are booking flights we require the first and last name, and the date of birth, for each passenger – these must be as shown on the passengers’ passports.

To confirm your booking we will require a deposit.

Receipt of payment confirms acceptance of our Booking Conditions by all passengers.

How and when do I pay?

We require a deposit of £500 per amateur or non-golfer to secure the team place and this can be paid by cheque, debit card, credit card or bank transfer. The final balance is payable 10 weeks prior to departure (3 months prior for Sawgrass and Pebble Beach).

Is travel insurance included?

Travel insurance is not included in the standard package as many people have their own arrangements in place such as annual insurance. It is a condition of booking that you have suitable insurance covering cancellation, personal items, medical cover, etc.

Can we book our own flights?

Yes you can – but please note that if you book directly with the airline you may have to pay in full for your flights at the time of booking and subsequent changes may normally not be permitted. If we book your flights you will just pay the standard deposit and pay for the flight when you pay your final balance. Quite often we are able to make changes to flight reservations up to the day the tickets are issued (subject to availability and sometimes amendment fees). Also, if we book your flights you are fully covered under the CAA’s ATOL protection scheme, whereas flights booked separately may not offer such cover.

Booking Conditions

Booking Procedure

If you wish to confirm a booking with The American Golf Holiday Pro-Am Tour, a Booking Form must be completed including full passenger names and signed by a member of the party over 18 years of age, who is authorised by the other members of the party to do so, thereby agreeing on behalf of all concerned to the conditions of the booking as set out in this contract. Please note, your exact requirements must be decided when you complete the Booking Form as any subsequent changes may be subject to amendment fees as specified below. All correspondence will be sent to, and must be received from, the lead name given on the Booking Form. The person making the booking and signing the Booking Form guarantees payment to us of the total cost of the holiday booked, and also does so for all the others for whom the booking is made.

Payment for the Holiday

Receipt of payment confirms acceptance by all passengers of these Booking Conditions. A non-refundable deposit of £500 per amateur golfer and non-golfer (£100 for Portugal) is required to confirm booking. A higher deposit may be required for some bookings, such as those including tailor-made extended stays, The Masters, or certain air fares.

Your final balance must be paid no later than 10 weeks* before departure. If your booking is made within 10 weeks* of departure full payment is required at time of booking. If you fail to pay on time, we reserve the right to treat your booking as cancelled, in which case you are liable to pay us cancellation charges up to 100% of the total invoice in accordance with the paragraph below. * three months prior for bookings including Pinehurst & Pebble Beach.

When you receive your Booking Confirmation please check the details carefully. If anything appears incorrect, including exact spelling of names, please contact us immediately.

Price Guarantee

All pricing is subject to fluctuations in exchange rate until your deposit is paid. Whilst we reserve the right to change published prices at any time, once we have received your completed Booking Form together with your deposit, the price of your holiday, as shown on the Booking Confirmation, will not be subject to any surcharge except in the event of fuel increases or actions by government or government agencies in respect of airport taxes, consumer levies, etc. Prices were calculated based on a rate of exchange of £1=$1.40 & £1=€1.20.

Cancellation or amendments made by you

Notice of cancellation must be made in writing by the person who signed the Booking Form directly to The American Golf Holiday. If you cancel your booking your deposit will be forfeited. In addition, the following charges will apply:

We will do our utmost to make any amendments you request, provided that notification is received in writing from the person who signed the Booking Form. An administrative charge of £25 per person will be incurred. We will also pass on any costs incurred by ourselves as a result of these changes. If you cancel part of your holiday once arrangements have been confirmed, for example individual golf, hotel or air reservations, cancellation penalties will apply.

If we change or cancel your holiday

Although it is extremely unlikely, The American Golf Holiday reserves the right to make changes to your travel arrangements. In the event that a material change is made to your holiday booking by The American Golf Holiday, you will be advised as soon as possible, if there is time, prior to departure. A material change is one that we make to your booking that involves changing your resort location or hotel. In these cases you will have the right to (a) accept the revised arrangements as notified to you, or (b) cancel your holiday. If you choose (b), we will refund to you all money you have paid us within 14 days. Except for reasons of Force Majeure, a material change will not be made less than 14 days prior to your departure date.

The American Golf Holiday reserves the right in any circumstances to cancel your holiday. In this unlikely event, we will offer you an alternative holiday of comparable quality or a full refund. In no case, except for circumstances beyond our control or non-payment by you of the balance of your holiday price, will your holiday be cancelled less than 30 days before departure.

We reserve the right, at any time, to make such alterations to itineraries, prizes, format or conditions as tournament staff, in their absolute discretion, consider necessary or convenient. Events are administered by officials from The PGA in England or by an official nominated by The Pro-Am Tour.

Your Financial Protection

When you buy an ATOL protected flight inclusive holiday from us you will receive an ATOL Certificate. This lists what is financially protected, where you can get information on what this means for you and who to contact if things go wrong.

We will provide you with the services listed on the ATOL Certificate (or a suitable alternative). In some cases, where we are not able to do so for reasons of insolvency, an alternative ATOL holder may provide you with the services you have bought or a suitable alternative (at no extra cost to you). You agree to accept that in those circumstances the alternative ATOL holder will perform those obligations and you agree to pay any money outstanding to be paid by you under your contract to that alternative ATOL holder. However, you also agree that in some cases it will not be possible to appoint an alternative ATOL holder, in which case you will be entitled to make a claim under the ATOL scheme (or your credit card issuer where applicable).

If we are unable to provide the services listed (or a suitable alternative, through an alternative ATOL holder or otherwise) for reasons of insolvency, the Trustees of the Air Travel Trust may make a payment to (or confer a benefit on) you under the ATOL scheme. You agree that in return for such a payment or benefit you assign absolutely to those Trustees any claims which you have or may have arising out of or relating to the non-provision of the services, including any claim against us, the travel agent (or your credit card issuer where applicable). You also agree that any such claims may be re-assigned to another body, if that other body has paid sums you have claimed under the ATOL scheme. Airline Information

The timings of air departures may be affected by operational difficulties or weather conditions. Please note that carriers’ conditions of carriage apply to these arrangements and have clauses which limit or exclude liability in the case of changes to timings, routings, aircraft or equipment and in the event of delay.

Once ticketed charges apply for any changes. Airline tickets are non-refundable and some airline tickets are non-changeable. If your requirements are likely to change please discuss the option for flexible  tickets. There are no refunds on partly used tickets.

Liability of The American Golf Holiday to you

The American Golf Holiday accepts liability for any loss you may suffer  if any part of the holiday arrangements you book with The American Golf Holiday is not as described. As The American Golf Holiday does not control or operate any accommodations or golf courses featured it has no control over the running of them. Therefore, The American Golf Holiday cannot be held responsible for any injury, death, loss or damage which is caused by any negligence of the management or employees of an independent contractor.

Important Note

We do not accept any liability if our performance is prevented or affected by an event beyond our control (Force Majeure) which we or our suppliers could not expect or avoid, even with all due care, such as: war; threat of war; riots; civil strife; terrorist activity; industrial disputes; natural or nuclear disasters; fire; epidemic or health risk; closure or congestion of airports or ports; adverse weather conditions; or any other matter beyond the control of The American Golf Holiday or our suppliers.

Complaints

In the unlikely event that you have a complaint during your holiday, please inform your hotel or resort manager, who will endeavour to help you to put things right, or contact The American Golf Holiday’s on-site representative (if applicable) or our office in the UK. Please follow this up by writing to The American Golf Holiday as soon as possible following your return and in any event not later than 90 days following the completion date of your holiday, giving your original booking reference number and all other relevant information. We will not be liable for any claims made after this period. Whilst it is unlikely that you will have a complaint that cannot be amicably settled between you and us, a special arbitration scheme (The Travel Industry Arbitration Service) provides a simple and inexpensive method based on documents alone. The service deals only with claims to a maximum of £1,500 per person or £7,500 per booking. Details are available on request.

Misbehaviour

We reserve the right in our absolute discretion to terminate, without notice, the holiday arrangements of any customer whose behaviour is such that it is likely, in our opinion, to cause distress, damage or annoyance to other customers, employees, property, or to any third party. If you are prevented from travelling because, in the opinion of any person in authority, you appear to be unfit to travel or likely to cause discomfort or distress to other passengers, our responsibility for your holiday thereupon ceases and full cancellation charges will apply. Under no circumstances may you sub-let or share your accommodation with anyone other than those named on the signed booking form.

You will comply with all reasonable requests of the hotel and will not damage any accommodation which you occupy during the holiday, or damage or remove the contents of the accommodation. If you do, you will pay us on demand the cost of repairing or replacing the contents. You will at all times behave in accordance with any rules in force at the hotel or golf course, in particular regarding dress code and golfing etiquette.

Land Arrangements

Land arrangements will be provided as per the itinerary. In the unlikely event that the reserved accommodation or golf is not available for any reason we reserve the right to substitute accommodation or golf in similar categories as appropriate. Unused accommodation, golf, or any other unused service or feature is not refundable nor exchangeable for other accommodation, service, or feature, unless agreed upon prior to departure.

Motorised Golf Carts

Where golf clubs provide motorised golf carts they are driven at your own risk and you are personally liable for all and any damage caused to or by the golf cart. If you are not experienced in their operation please request instruction from the golf club staff prior to use. Please ensure your travel insurance covers you for personal liability in this area.

Golf Course Condition

The American Golf Holiday pre-books tee-times in good faith and cannot be held responsible for the actual playing conditions of the golf courses whether caused by course maintenance, climatic conditions or other factors.

Travel Documents, Passports, ESTA & Visas

Passengers are responsible for their own travel documents & ESTA. A US visa is not currently required for UK citizens holding a valid 10 year machine-readable e-passport, travelling on holiday and staying less than 90 days. “British Subjects” or citizens of other countries should check with their nearest US Embassy.

Handicaps

It is the responsibility of all amateur competitors to have an approved handicap to compete in a Pro-Am Tour event. Approved handicaps include CONGU handicaps, or an EGA or USGA Index. Amateurs with other forms of handicap must contact The Pro-Am Tour in order to have their handicap approved to enable them to compete in a Pro-Am Tour event. Insurance

As a condition of booking you are required to arrange an insurance policy to cover cancellation, accident & medical problems, personal liability, legal expenses, luggage, delays, etc. We would be happy to provide information on a suitable policy.

Special Requests

The American Golf Holiday must be advised in writing of any special requests when the booking form is sent in, i.e. room location, adjoining rooms, special meals, etc. We shall be pleased to advise the service provider of your requirements but cannot guarantee that these shall be met. We reserve the right to charge as appropriate for such requests.

Governing Law

This contract is governed by and shall be construed in accordance with English law and for the benefit of The American Golf Holiday. By signing this contract you shall be deemed to have submitted to the non-exclusive jurisdiction of the English Courts.

Prices and details are correct at the time of printing. All packages are offered subject to availability.

The American Golf Holiday reserves the right at any time after publication to make changes to any itinerary or programme; subject to the stipulations contained above. Clients will be notified of any changes before the booking is accepted by us.
